Who we are and what this policy covers
Oncology Medical Physics LLC ("OMP," "we," "us," or "our") is a South Dakota limited liability company. This Privacy Policy describes how OMP collects, uses, discloses, retains, and protects personal information through oncologymedicalphysics.com and its pages, the OMP job board, Talent Network, accounts, forms, newsletters, educational and consulting inquiries, and related online services (collectively, the "Services").
OMP is generally the controller or business responsible for account, website, transaction, communication, and platform information described here. An employer that receives an application or résumé generally makes its own recruiting decisions and is an independent controller or business for the copy it receives. External websites and services have their own notices.
Our privacy approach
- Public job browsing does not require a job-seeker account.
- Job seekers may submit applications through OMP without creating an account. Optional accounts and other features may have their own requirements.
- Talent Network information and résumés are accessible only to authorized OMP personnel and service providers that support the requested service. Employers cannot search or browse the Talent Network.
- OMP obtains candidate approval before each Talent Network disclosure to an employer or recruiter. Submitting a résumé does not authorize unrestricted sharing.
- OMP does not currently sell personal information for money or use personal information for cross-context behavioral advertising.
- OMP does not use retargeting pixels or session-replay tools at launch. Nonessential analytics and similar technologies are controlled through Cookie Settings.
- OMP does not ask job seekers to provide highly sensitive identifiers, financial data, patient data, or unnecessary sensitive information in résumés or applications.
Personal information we collect

Please do not submit Social Security or social-insurance numbers, government identification numbers, bank credentials, patient or protected health information, genetic or biometric data, precise geolocation, or sensitive information that is not genuinely necessary. OMP does not intend to collect patient information through the Services.
Where information comes from
- Directly from you when you browse, create an account, apply, join the Talent Network, post a job, buy a listing, subscribe, complete a form, or communicate with OMP.
- From your employer or organization when it creates an account, authorizes a recruiter, purchases a listing, or provides business information.
- Automatically from your browser, device, cookies, logs, security systems, and consented analytics.
- From service providers that support hosting, payments, email, analytics, security, authentication, customer management, and document delivery.
- From public sources, particularly an employer's own career site, when OMP creates a factual, externally sourced job listing. OMP does not copy personal contact details from a sourced listing unless necessary and appropriate.
Why we use information and our legal bases
The legal basis depends on the context and applicable law. Where the EU General Data Protection Regulation (GDPR) applies, OMP relies on the bases below. In Canada, OMP seeks meaningful consent and relies on applicable statutory exceptions where available. In the United States, OMP uses information for disclosed business purposes subject to applicable law.

When OMP relies on legitimate interests, it considers the necessity of the processing, OMP's interests, and the effect on individuals. You may object where the law gives that right. OMP will not use consent as a condition for a feature when the information is not reasonably necessary for that feature.
Cookies and website analytics
OMP uses cookies and similar technologies to support website functionality, login, security, preferences, and analytics. Analytics tools, including Google Analytics, help us understand how visitors use the website and may collect information such as IP address, browser and device information, pages visited, and interaction data.
You can manage or block cookies through your browser settings. Blocking some cookies may affect website functionality.
Educational memberships and exam preparation
When you use OMP's educational services, we may collect membership level and status, purchased access, quiz responses, scores, attempt history, and learning progress where those features are available. We use this information to provide educational content, manage access and subscriptions, display results and progress, provide support, and improve our educational services.
Educational account and learning records are retained while the account or requested service is active and thereafter only as reasonably necessary for the purposes and exceptions described under Retention. Payment and accounting records follow the retention schedule stated below.
Job-board and Talent Network privacy
Browsing, accounts, and applications
Anyone may browse public listings and submit job applications through OMP without creating a job-seeker account. An account may be needed for optional saved jobs, alerts, application tracking, or other account-based features if OMP makes them available. Employer accounts are required for employer purchasing and listing management.
For an OMP-hosted application, OMP discloses the application and attachments to the employer identified in the listing because the job seeker requested that transmission. OMP may retain a platform copy for delivery, status, security, support, rights requests, and the retention periods below. If a listing links elsewhere, the external site collects the application under its own notice.
Talent Network résumés and candidate information
Joining the Talent Network or uploading a résumé does not make your information public or searchable by employers. Access is limited to authorized OMP personnel and service providers supporting the requested service.
Before making a Talent Network introduction or disclosing your résumé, contact information, or identifying professional information to an employer or recruiter, OMP will identify the proposed recipient and obtain your approval for that disclosure. Approval for one disclosure does not authorize disclosures to other employers or recruiters.
You may ask OMP to update or delete your Talent Network information, withdraw from the Talent Network, or stop further introductions by contacting privacy@oncologymedicalphysics.com. Withdrawing approval prevents future disclosures but does not retrieve copies previously provided with your approval. A recipient employer is responsible for its copy, its recruitment notice, and applicable deletion or objection rights.
OMP maintains records of candidate approvals and disclosures to support the requested service and demonstrate compliance. OMP does not provide employers with direct access to a searchable résumé database and does not sell paid or bundled access to Talent Network records.
If OMP later proposes employer database access, it will first reassess applicable legal requirements, update its notices and contracts, establish appropriate security and user controls, and obtain any required consent before making existing candidate information available under that model.
Employers and independent responsibility
An employer that receives candidate data generally determines its own recruiting purposes and retention and is an independent controller or business. OMP requires employers receiving candidate information through its Services to use it only for genuine recruitment, protect it, avoid resale and unrelated marketing, honor applicable rights, and notify OMP of unauthorized access. OMP does not control an employer's independent practices, but users may report misuse to privacy@oncologymedicalphysics.com.
Payments
Stripe or another disclosed payment provider processes payment-card details. OMP receives transaction status and limited identifiers but does not intend to store complete card numbers or security codes. Payment providers process information under their own notices and may act as independent controllers for fraud, legal, and payment-network functions.
How we disclose information
OMP may disclose personal information to:
- Employers and recruiters when a job seeker applies to an identified employer or separately approves a specific Talent Network disclosure. Published employer listing and business-contact information may also be disclosed to job seekers and other website visitors.
- Service providers and processors for hosting, content delivery, security, backups, payments, email delivery, account and customer management, consent management, analytics, support, document processing, and professional advice. They receive only information reasonably needed for their role and are subject to contractual or legal duties where required.
- Government bodies, courts, regulators, law enforcement, adverse parties, or advisers when OMP reasonably believes disclosure is required by law or necessary to protect rights, safety, security, users, or the public, and subject to appropriate process.
- A buyer, investor, lender, successor, or adviser in a merger, financing, reorganization, bankruptcy, sale, or transfer, subject to confidentiality and any required notice or choice.
- Other recipients at your direction or with your consent.
Public listing content, employer names, and business-contact information deliberately included in published listings are visible to internet users and may be indexed or copied. Résumés, application materials, and Talent Network records are not public.
Sale, sharing, and targeted advertising
OMP does not currently sell personal information for money. OMP does not currently share personal information for cross-context behavioral advertising or process it for targeted advertising. OMP does not offer employers paid, bundled, or direct access to a searchable résumé database. Disclosing an application or approved Talent Network introduction to an employer at the job seeker's direction is intended to provide the requested recruiting service, not to sell the individual's data.
Definitions vary by jurisdiction. If OMP's practices change or a law treats a future arrangement as a sale, sharing, or targeted advertising, OMP will update this Policy and provide the notice and opt-out or consent mechanism required before the change. OMP does not offer financial incentives for personal information.
International processing and transfers
OMP is established in the United States. Information may be processed in the United States and other countries where OMP's providers operate. Those countries may have different privacy laws, and authorized governments may lawfully request access.
Where a restricted international transfer requires a safeguard, OMP will use an available lawful mechanism, such as an adequacy decision, the European Commission's Standard Contractual Clauses with appropriate supplementary measures, or another approved mechanism. For Canadian users, OMP remains accountable for personal information transferred to a processor and will use contractual or other safeguards appropriate to the sensitivity. Contact OMP for information about applicable safeguards.
Retention
OMP keeps personal information only as long as reasonably necessary for the disclosed purpose, legal and contractual duties, security, disputes, and backups. OMP's retention schedule is:

Deletion from active systems may be followed by secure expiration from rotating backups. De-identified information may be retained if OMP takes reasonable measures not to reidentify it and uses it only in de-identified form.
Security and incident response
OMP uses reasonable administrative, technical, and physical safeguards appropriate to the information and risk, including access controls, encryption in transit, maintained software, backups, logging, vendor review, and response procedures. No system is completely secure, and OMP cannot guarantee security.
If OMP discovers a breach, it will investigate, contain, document, and notify affected individuals and regulators when required. Do not send sensitive information by ordinary email unless OMP provides an appropriate method. Report suspected account or data misuse promptly to privacy@oncologymedicalphysics.com.
Your choices and privacy rights
Depending on residence and applicable law, you may have the right to:
- Know whether OMP processes your personal information and access or obtain a copy of it.
- Correct inaccurate personal information.
- Delete personal information, subject to legal and operational exceptions.
- Receive certain information in a portable format and, where technically feasible and legally required, have it transmitted to another organization.
- Withdraw consent and object to or restrict certain processing, including direct marketing.
- Opt out of sale, sharing, targeted advertising, or certain profiling if OMP engages in a covered practice.
- Not receive discriminatory treatment for exercising a privacy right.
- Appeal a refusal where state law provides an appeal and complain to an applicable regulator or supervisory authority.
Submit a request to privacy@oncologymedicalphysics.com or by any web request form OMP identifies in Cookie Settings or the privacy center. Describe the request, the relevant account or email, and your jurisdiction. OMP will verify identity proportionately and may request confirmation through the account or email already on file. An authorized agent may act where law permits, subject to proof of authority and identity verification.
OMP will respond within the period required by law: generally one month where GDPR applies and 45 days for requests to know or delete where the California Consumer Privacy Act applies, with lawful extensions and notice. Other requests may have different statutory deadlines. OMP's operational target is 30 days unless a shorter legal deadline applies. If OMP denies a request, it will explain the basis and any appeal route required by law. OMP may retain information needed to document and honor the request.
United States state privacy disclosures
In the preceding 12 months, OMP may have collected the categories listed in "Personal information we collect"; used them for the purposes listed above; and disclosed them to the recipient categories listed above. OMP's launch plan does not include selling personal information, sharing it for cross-context behavioral advertising, targeted advertising, or using sensitive information to infer characteristics. OMP will honor rights for residents of states with applicable comprehensive privacy laws and will generally extend the core access, correction, and deletion process to other users when practical.
California residents may have rights to know categories and specific pieces, correct, delete, opt out of sale or sharing, limit certain uses of sensitive personal information, and receive equal service. OMP does not currently use or disclose sensitive personal information for purposes that require a California limitation link and does not offer a financial incentive. A recognized Global Privacy Control signal will be treated as a request to opt out of sale or sharing where applicable.
Residents of states that provide an appeal may appeal by replying to the decision or emailing privacy@oncologymedicalphysics.com with "Privacy Appeal" in the subject. If an appeal is denied, OMP will provide any legally required method to contact the state attorney general.
European Economic Area
If GDPR applies, OMP is the controller for the OMP processing described in this Policy. The legal bases are listed above. You may access, correct, erase, restrict, port, object, withdraw consent, and complain to the supervisory authority where you live, work, or believe an infringement occurred. Withdrawal does not affect earlier lawful processing. OMP does not make solely automated decisions that produce legal or similarly significant effects about job seekers.
OMP is a U.S. company, and launch marketing is limited to the United States. Before OMP accepts an EEA employer purchase or otherwise intentionally offers the Services in the EEA on a basis that requires a representative under GDPR Article 27, OMP will complete a documented territorial-scope assessment, appoint a representative and publish the representative's contact information unless counsel confirms a documented exemption, and evaluate whether the job board creates obligations under the EU Digital Services Act.
Canada
OMP's Privacy Officer is accountable for Canadian privacy compliance. OMP seeks meaningful consent appropriate to the sensitivity and reasonable expectations, limits collection and use, provides access and correction, uses safeguards, and accepts complaints. Service may be provided from the United States, and authorized U.S. authorities may access information under U.S. law.
For Quebec residents, OMP will designate the person with the highest authority as responsible for personal-information protection or delegate that role in writing, conduct required privacy impact assessments, use the highest available privacy setting by default for public-facing technology, provide required notice about profiling or location features, maintain a confidentiality-incident register, and address portability and consent under Quebec law. OMP does not knowingly collect information from children under 14 without appropriate parental or guardian consent.
Canadian users may challenge OMP's compliance through privacy@oncologymedicalphysics.com. If unresolved, they may contact the Office of the Privacy Commissioner of Canada or, for Quebec matters, the Commission d'accès à l'information.
Email and marketing choices
OMP separates requested service messages from marketing. Job alerts, account notices, application delivery, candidate-approved introductions, inquiry responses, billing, security, and listing-status messages are sent to provide a requested feature, service, or transaction. Submitting an application, joining the Talent Network, or making a consulting inquiry does not automatically enroll you in OMP's general newsletter or promotional campaigns. Marketing enrollment uses a separate, unbundled choice where required. OMP records the consent source, wording, date, and policy version.
Marketing recipients may unsubscribe using the message link or by contacting privacy@oncologymedicalphysics.com. OMP will process the request promptly and within applicable law, and will keep only the minimal suppression data needed to avoid resubscription. U.S. commercial email will include required sender and opt-out information; Canadian commercial electronic messages will follow Canada's anti-spam requirements.
Children
The Services are not directed to children under 16. Career-services participation and job-board accounts are intended for adults aged 18 or older. OMP does not knowingly collect personal information online from a child under 13 in the United States or under 14 in Quebec without legally sufficient authorization. If you believe a child provided information, contact privacy@oncologymedicalphysics.com so OMP can investigate and delete it as appropriate.
Third-party links and embedded content
The Services may link to employer application systems or embed content from third parties. Those parties may collect information independently when you interact with them. OMP will block nonessential embeds before consent where required, but their own privacy notices govern their processing.
Changes to this Policy
OMP may update this Policy to reflect changes in law, vendors, features, or practices. OMP will post the updated version and revise the effective date. For a material change, OMP will provide additional notice and obtain consent where required before applying the change to previously collected information in a materially different way.
